Managing users
The Users page is where you create and manage accounts for everyone who needs access to Sacramentum — priests, fellow administrators, and parish staff. Each user has a role that determines what they can see and do.
The users page
Navigate to Admin Dashboard → People & Places → Users. The page displays a list of all users in your parish with the following controls:
- Search — find users by name or email.
- Role filter — show all roles, or filter to Regular Users, Admin, or Priest.
- Sort — order by newest first, name, email, or last login.
- Pagination — the list shows 15 users per page.
Each row displays the user's avatar (or initials), name with clergy title if applicable, email, role badge, email verification status, creation date, last login date, and an actions menu.
Understanding roles

An administrator who is also an ordained priest can enable the Also a Priest toggle on their account. This gives them access to both the Admin Dashboard and the Priest Console, and allows their name to appear in celebrant dropdowns with the proper clergy title.
Adding a user
- Click Add User in the toolbar.
- Enter the user's First Name and Last Name.
- Enter their Email address. Each email must be unique within your parish.
- Select a Role from the dropdown: User, Priest, or Admin.
- If the role is Admin, an Also a Priest checkbox appears. Enable it if this administrator is also an ordained priest.
- If the user is a priest (either by role or by the Also a Priest toggle), a Preferred Title dropdown appears with these options:

If you choose Custom, a text field appears where you can enter a title of up to 20 characters.
- The Send Invite Email checkbox is enabled by default. When checked, the new user receives an email with a link to set their password. Uncheck it if you plan to set the password manually.
- Click Save.
The user appears in the list immediately. If an invite email was sent, the user can click the link to set their password and log in.
The clergy title you set here is used throughout Sacramentum wherever the priest's name appears — in the public schedule, the sacristy kiosk, receipts, and the Priest Console sidebar. You do not need to include the title in the name fields.
Editing a user
- Click the three-dot menu on the user's row and select Edit User.
- Update any field — name, email, role, clergy title, or the Also a Priest toggle.
- Click Save.
Role changes take effect immediately. If you change someone from Admin to Priest, they lose access to the Admin Dashboard on their next page load.
Managing a priest's avatar
Priests can upload their own profile photo from the Priest Console (see Your profile and clergy title). As an administrator, you can also upload or remove a priest's avatar from the Edit User dialog by clicking their avatar circle.
Supported formats are JPEG, PNG, and GIF up to 5 MB. After selecting an image, a crop dialog lets you frame the photo in a circular area with zoom control.
Managing priest leave
When a priest is temporarily unavailable — for vacation, sabbatical, medical reasons, or personal leave — you can mark them as on leave so they do not appear in scheduling dropdowns.
- Click the three-dot menu on the priest's row and select Manage Leave.
- Enter the Start Date and End Date of the leave period.
- Select a Reason: Vacation, Sabbatical, Medical, Personal, or Other.
- Optionally add Notes with any relevant details.
- Click Save.
While on leave, the priest is hidden from celebrant assignment dropdowns across the system. Their existing schedule assignments remain intact but are flagged for your awareness.
To end a leave early, open the same dialog and click Remove Leave.
Sending a password reset link
If a user forgets their password or needs to set one for the first time:
- Click the three-dot menu on the user's row.
- Select Send set-password link.
The user receives an email with a secure link to create a new password. The link expires after 7 days.
Verifying email addresses
New users receive a verification email when their account is created. If a user's email remains unverified (shown as a yellow "Unverified" badge), you can resend the verification email:
- Click the three-dot menu on the user's row.
- Select Resend verification email.
The verification link expires after 24 hours.
Deleting a user
- Click the three-dot menu on the user's row and select Delete User.
- A confirmation dialog appears showing the user's name and email.
- Click Confirm to proceed.
For priest accounts, a specialized deletion dialog appears that accounts for Mass intentions and sacramental records tied to that priest, ensuring canonical records are preserved.
Deleted users cannot log in but their historical data (past Mass celebrations, intention fulfillments) is retained for audit purposes. You cannot delete your own account.
User deletion cannot be undone. If a priest is leaving temporarily, use the leave management feature instead of deleting their account.
